Position Descriptions

President - The President shall preside at all meetings of the organization and of the Executive Committee and shall perform such other duties as may be prescribed in these bylaws or assigned to him/her by the organization or by the Executive Committee and shall coordinate the work of the officers and committees of the organization in order that the goals may be promoted. The President also reviews and approves website updates, ensuring proper content resides on the Ridge PTO web page.

Vice President - The Vice President(s) shall act as aide to the President and shall perform the duties of the President in the absence or inability of that officer to act, shall coordinate the work of the committees of the organization, and shall perform such other duties as may be delegated to him/her.

Secretary - The Secretary shall record the minutes of all meetings of the organization and the Executive Committee and present the minutes at the following month’s meeting for approval. The secretary shall send notice of meetings, read and conduct correspondence as directed and shall perform such other duties as may be delegated to him/her.

Treasurer - The duties of the Treasurer are:
1.    To have custody of all funds of the organization, keep a full and accurate account of all receipts and all expenditures, and to make disbursements in accordance with the approved budget as authorized by the organization.

2.    To present a financial report at every meeting of the organization and at other times when requested by the Executive Committee.

3.    To serve a term of office that shall coincide with the fiscal year.

4.    To submit the accounts to be examined annually by an outside auditor hired by the Executive Board who, satisfied that the Treasurer’s annual report is correct, shall sign a statement of that fact at the end of the report. A CPA will be hired to prepare Annual Federal Tax Forms.

5.    To secure a non-profit institutional fidelity bonding policy. The expenditure involved in securing the bond is a legitimate expense for the organization.

District Parent Council – The two DPC Reps attend all regular council meetings and serve as a link between the Ridge PTO and the district. The council has an advisory capacity to the superintendent and links all district schools and their parent groups to share concerns and activities of their buildings. The representatives also attend district school board meetings and reports information to the organization.


Awards & Incentives Chairperson-Coordinate Homework Incentive Lunch (3 times/yr) and Ice Cream Social (twice a year).

Homework Incentive Lunch -Coordinate lunch (pizza, soda & cookies) served to students who complete 100% homework in three academic subjects. Incentive lunch is served at the end of 1st, 2nd and 3rd quarters. Work with attendance secretary and staff to obtain a list of eligible students. 5-6 volunteers help serve pizza.

Ice Cream Social - Coordinate the purchasing of ice cream and toppings. Students who maintain a 3.5 grade average at the end of 1st and 2nd semesters, as well as students who have had perfect attendance are treated to ice cream sundaes. 5-6 volunteer help serve ice cream. Work with staff to obtain a list of eligible students.

Academic Awards - Coordinate refreshments for 8th grade awards held in May at Lakota West and assist with any needed help for the 7th grade awards held in May at Ridge JS.

Dance Chairperson - Coordinate four dances by setting dates with the principal and DJ. Oversee the organization of each dance by making sure refreshments are in stock, security is in place and pizza is ordered for after school dances. Normally 12-16 parent volunteers are on hand to help with refreshments and general chaperoning. Administrators are at each dance. Volunteers are also on hand for pre-sale and door ticket sales.

Volunteer Chairperson - Maintain a list of volunteers by activity and call as needed with direction from the President. Coordinate volunteer lists with each function chairperson so that each chairperson is able to staff his/her events.  Assist in emailing to acquire volunteers for events that do not have a chairperson.  Distribute and collect volunteer forms at the start of the year to create the volunteer list for the school year. 

8th Grade Day Chairperson - Organize lunch for all 8th grade students. Subway or pizzas have been served in the past, but you can decided on what to serve, along with donated cookies, snacks and drinks. This is held the last day of school. Volunteers (10-12) are on hand to help serve lunch. A DJ usually provides entertainment.

8th Grade Dance Chairperson - Organize, plan and coordinate with the other junior high schools the 8th grade dance. This dance is normally held in April at Plains JS. A committee is usually formed to manage this event.

Spiritwear Sales Chairperson - Order and distribute Spiritwear (t-shirts and/or sweatshirts). A new design is usually implemented each school year and is ordered from a local distributor. Spiritwear is ordered during the summer to ensure availability for the beginning of the school year. Volunteers can be scheduled to be on hand at schedule pick-up days and open houses held in August and September. Spiritwear sales are usually finished by November, but can occur at any school event.

Membership/Directory - Compile a list of all PTO members that have paid dues. All PTO members receive a student directory in November. The directory is copied by a local printer and distributed by homeroom teachers.

Communications (including publicity and website) - Take pictures at various PTO sponsored events; pizza lunch, dances, ice cream social etc. to be hung in the display case and posted, after approval, on website.  Actively seek inclusion in the Pulse-Journal and other newspapers and online publications for Lakota Ridge Junior School activities and events.  Coordinate information dissemination with the Ridge Principal in weekly email communications with parents.  Maintain PTO portion of the website with current information and forms.

Staff Appreciation Chairperson
- Coordinates a breakfast for the staff for the first August workday.  Also ensures that a light dinner is provided to teachers on conference nights, twice a year, October and March. This needs to be set up in the afternoon and served at approximately 3:15.  Items can be purchased through the PTO or parents can be contacted to donate items.  Other staff appreciation activities can be arranged as desired.

Incentives Chairperson - In order to help raise funds for the PTO, promote incentive programs during school events, like the sale of Kroger cards and participation in the CB Learn and Pulse-Journal Voluntary Pay programs.

Boxtops 4 Education Chairperson - Coordinate the collection of boxtops and process boxtop redemptions to produce income for the PTO.

Business Donations Chairperson - Coordinate volunteers to solicit area businesses for coupons and promotional items to be given out to deserving students on monthly basis. Works with the school counselors to coordinate the distribution of these items.

Scholastic Bookfair Chairperson – Coordinates bookfairs at Ridge JS two times per year (fall and spring).  Ensures that volunteers are in place to sell the books and that the profits from the sales are provided to the library and to teachers for their use in purchasing classroom items.
